You said yes. You found your venue (or maybe you’re still looking). And now you’re staring down one of the biggest parts of wedding planning: putting together your wedding vendor list.
If you’ve never planned a wedding before, it can feel like a lot. How many vendors do you actually need? Where do you even start? And how do you find people who really know the Catskills and won’t ghost you three weeks before the big day?
We get it. We’ve been part of hundreds of weddings here at The Barn on Hubbard in Callicoon, NY, and we’ve watched couples navigate this exact process. Some show up with a complete wedding vendor list on day one. Others have a Pinterest board and a prayer. Both are totally fine.
That’s actually one of the reasons we built our preferred vendor list in the first place. We’ve worked alongside these pros, seen them in action, and trust them to deliver. So instead of spending hours searching for Catskills wedding vendors at midnight, you can start right here.
Ready to see the space in person? Schedule a tour and we’ll walk you through everything, from the barn to the gardens to how your wedding vendor list comes together on the big day.

Here’s the thing: your wedding vendor list isn’t just a checklist. It’s the backbone of your entire day. Every vendor you choose plays a role in how your celebration looks, sounds, tastes, and feels. A solid list also keeps you organized and on budget. When you know who’s handling what (and when), you can actually relax a little.
At The Barn on Hubbard, we’re a bring-your-own-vendor venue. That means you have the freedom to choose every single person on your team. But freedom without direction can feel overwhelming. That’s where we come in. Over the years, we’ve built relationships with incredible local vendors who know our property, love working here, and consistently deliver for our couples. We share our curated wedding vendor list with every couple who books with us, so you’re never starting from scratch.

Let’s start with what your guests will remember most (besides you two, of course): the food. Your catering choice sets the tone. Sit-down plated dinner? Casual BBQ buffet? Wood-fired pizza? It all works here.
Our preferred caterers:
Each one brings something different to the table (literally), and they all know our prep kitchen setup inside and out.
For drinks, we have a built-in silo bar that guests love. If you’re looking for something extra, The Roadhouse Rolling Bar brings a mobile bar experience that’s always a hit.
Bakery and dessert:
They make beautiful, delicious work that doubles as table decor.

Flowers can completely transform a space. Whether you’re going for wild and organic or structured and elegant, the right florist makes a world of difference.
Florists:
They all understand how to complement the barn’s natural character and our outdoor gardens without overdoing it.
Farm cut flowers:
Want something a little more relaxed? These vendors offer gorgeous seasonal blooms that feel right at home in the Catskills.
No wedding vendor list is complete without a photographer you genuinely connect with. These are the people who’ll be with you all day, so personality matters as much as portfolio.
Our preferred photographers:
Each one has a distinct style, from documentary and candid to editorial and moody. They also know our property well, which means they know exactly where the light hits best at golden hour (trust us, the sunset views here are something else).

The right music keeps the dance floor packed and the energy alive.
DJ services:
Live music:
Some couples go all-in on a DJ. Others want live music for the ceremony and cocktail hour, then a DJ to take over for the reception. Whatever your vibe, these pros pair perfectly with a Catskills barn wedding.
Even the most organized couples benefit from a wedding planner or day-of coordinator.
Wedding planners:
They know our space, they know our process, and they keep things running smoothly so you can actually be present on your wedding day.

Your wedding vendor list should include a hair and makeup team that makes you feel like the best version of you. Not overdone. Not someone else. Just you, polished and glowing.
Hair and makeup artists:
They’ve prepped bridal parties right here on the property and they know how to work with natural light and the outdoor setting.
Our venue comes with a collection of vintage props and flexible setup, but some couples want to take it further.
Rental partners:
They’ve styled some truly beautiful celebrations here. They get the barn’s aesthetic, which means everything feels intentional.
Stationery and calligraphy:
Your invitations set the mood before your guests even arrive. These vendors create beautiful suites that match the rustic elegance of a Catskills barn wedding.

One of the best parts of a weekend wedding is making it easy for guests to stay nearby. We manage The Gabel Farmhouse located directly behind the barn and love offering it to our couples.

At a minimum, you’ll want a caterer, photographer, DJ or live musician, florist, and a hair and makeup artist. From there, most couples add a wedding planner, baker, rental company, and stationery designer. The exact list depends on your vision, but those are the essentials.
Start with your venue’s preferred vendor list, since those pros already know the space and the area. Read reviews, ask to see full galleries (not just highlight reels), and always have a phone call or video chat before booking. Chemistry matters just as much as talent!
Ask about their availability, pricing structure, what’s included, and how they handle day-of communication. It’s also smart to ask if they’ve worked at your venue before and whether they carry liability insurance. Don’t be shy about asking for references from recent couples.
For popular Catskills wedding season (May through October), aim to book your top-priority vendors 9 to 12 months out. Photographers, caterers, and planners tend to fill up fastest. DJs, florists, and hair and makeup artists can sometimes be secured 6 to 8 months ahead, but earlier is always better.
