1. What Exactly Is Included in the Wedding Venue Rental?

This should be one of the first questions to ask your wedding venue because venue packages can look very different from one property to another.

• Which indoor and outdoor spaces are included?
• Are tables and chairs included?

2. How Long Do We Have Access to the Venue?

Some wedding venue rentals cover the wedding day. Others give you more time.

This can make a big difference in how your weekend feels.

If you only have access for a set number of hours, your vendors may need to arrive, set up, host the wedding, clean up, and leave within a tight window. Ask exactly when you can arrive and when everything needs to be gone.

3. What Is the Rain Plan?

If you’re looking at wedding venues in the Catskills, you’re probably looking at the scenery for a reason.

That said, outdoor weddings need an indoor backup plan.

Ask where your ceremony, cocktail hour, and dinner would happen if rain rolls through. More importantly, ask whether that backup space can comfortably accommodate your guest count.

At The Barn on Hubbard, couples have several spaces to work with. In addition to our outdoor property, we have the 4,000-square-foot historic barn and an indoor annex that can be used for a ceremony or cocktail hour. Tent rental is also available as an additional service.

You should be happy with Plan B, not simply willing to tolerate it.

4. Are There Restrooms Onsite?

It’s not the most romantic question on your venue tour (we know), but it matters.

Ask whether restrooms are already on the property or whether you’ll need to rent portable facilities. You’ll also want to know how many there are and whether they’re accessible.

The Barn on Hubbard has two indoor, handicap-accessible restrooms available for wedding guests.

5. Can We Choose Our Own Vendors?

Vendor rules vary widely, so add this to your list of questions to ask your wedding venue before committing.

Ask whether the venue has:

• Restrictions on outside vendors
• Insurance requirements
• Rules about bartending or alcohol service

6. What Does the Catering Setup Look Like?

If your venue doesn’t provide catering directly, ask what’s available for the catering team.

Is there a full commercial kitchen? A prep kitchen? Refrigeration? Running water? Storage? Will the caterer need to bring cooking equipment?

At The Barn on Hubbard, we provide a catering prep kitchen with a two-bay sink, storage shelving, a refrigerator, and room for additional catering equipment such as portable ovens, burner ranges, and warming or proofing cabinets.

We also have an indoor silo bar with its own prep area, storage, and sink.

Your caterer will need this information too, so getting clear on it early makes vendor conversations much easier later.

7. What Furniture and Décor Are Available?

Before ordering 100 chairs or filling a rental truck with décor, find out what’s already onsite.

One of the most useful questions to ask your wedding venue is whether you’ll have access to existing furniture, ceremony pieces, props, or décor.

8. Where Can We Hold the Ceremony and Cocktail Hour?

A venue may photograph beautifully in one particular spot, but your wedding will move through several parts of the day.

Ask about all your options.

Where can you hold the ceremony? Where will guests go afterward? Can dinner happen outside? What spaces work for cocktail hour?

9. What Are the Parking and Transportation Options?

Parking isn’t usually the first thing couples picture when dreaming about their wedding. Your guests will definitely notice if it’s confusing, though.

Ask:

• Is parking onsite?
• How many vehicles can the property accommodate?
• Is parking included?
• Who helps direct cars?
• Can shuttles access the property?
• Where will guests enter and exit?
